Introduction

Our client, a well-established property management company specialising in retail, industrial

and mixed-use property portfolios, is seeking an experienced Commercial Property

Manager. The successful candidate will be responsible for managing a portfolio of commercial

properties, ensuring optimal financial performance, compliance, tenant satisfaction, and efficient

facilities management.

Key Responsibilities

Portfolio & Property Management

• Manage a portfolio of retail centres, industrial and mixed-use commercial properties.

• Build and maintain strong relationships with tenants, contractors, trustees, and service

providers.

• Oversee lease administration, renewals, tenant queries, and stakeholder

communication.

• Monitor rental collections, arrears management, and financial performance of the

portfolio.

• Prepare and present monthly management reports to property owners and stakeholders.

• Prepare and explain annual property budgets and monitor operational expenditure

(Opex) and capital expenditure (Capex).

• Manage and monitor property income, expenses, and quarterly financial projections.

Administration & Advisory

• Obtain insurance quotations for property assets including building, fidelity, and public

liability insurance.

• Manage submission and follow-up of insurance claims.

• Obtain property and building valuations when required.

• Advise trustees/owners on relevant legislation, rules, and governance requirements.

Facilities & Maintenance Management

• Manage and coordinate day-to-day maintenance of commercial buildings and common

areas.

• Conduct regular building inspections and prepare inspection reports.

• Manage repairs and maintenance relating to electrical, mechanical, plumbing, fire

systems, and building structures.

• Ensure buildings maintain up-to-date compliance certifications in line with relevant

regulations.

• Source and vet contractors, obtain quotations, and manage service provider

agreements.

• Monitor contractor performance and service level agreements (SLAs).

• Coordinate maintenance schedules and respond to reactive maintenance issues.

• Supervise outsourced contractors and manage maintenance projects when required.

• Monitor building risks including security systems, CCTV, and structural concerns.

Financial & Reporting

• Validate supplier invoices and obtain approvals for payments.

• Monitor maintenance budgets and ensure alignment with approved financial plans.

• Track maintenance expenditure and manage cost efficiencies.

• Work closely with property administrators to ensure accurate processing of invoices and

job cards.

Minimum Requirements

• Minimum 5 years’ experience in Commercial Property Management or Facilities

Management.

• Proven experience managing retail centres, industrial and/or mixed-use property

portfolios.

• MDA Property Management Software experience is essential.

• Strong understanding of property financial management including budgeting, arrears

control, and expense management.

• Experience coordinating maintenance, contractors, and compliance requirements.

• Excellent administrative and reporting skills.

Preferred Qualifications

• Diploma or degree in Property Management, Real Estate, Facilities Management,

Finance, or related field.

• Knowledge of relevant property legislation and regulatory frameworks.
